This policy explains what personal information Active Social Club Collective Ltd collects, why we collect it and what your rights are. We follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Active Social Club Collective Ltd is a company registered in England and Wales, company number 17460533. Our registered office is 4 The Mulberries, Red Lodge, Bury St Edmunds, Suffolk, IP28 8ZU. We are based in Bury St Edmunds, Suffolk, England. We are the controller of the personal information described in this policy. You can contact us at activesocialclub@outlook.com.

What information we collect

  • When you contact us. If you email or call us, we receive your name, your email address or phone number, and whatever you tell us in your message.
  • When you book. Bookings and payments are handled by GymCatch, our booking provider. GymCatch collects the details you enter, such as your name, contact details and payment information, and shares booking details with us so we know who is attending. GymCatch's privacy policy explains how it uses that information.
  • Health information. If you tell us about an injury or health condition so that we can adjust a session for you, we receive that information too.
  • When you use this website. This website does not use cookies, analytics or advertising trackers. Our website host may keep basic technical logs, such as IP addresses, to deliver the site and keep it secure.

How we use your information and why

  • To reply to your enquiries. Our lawful basis is legitimate interests, and steps you ask us to take before booking.
  • To run the sessions you book and to contact you about them. Our lawful basis is performing our contract with you.
  • To keep you safe in sessions, using health information you choose to give us. Our lawful basis is your consent, and you can withdraw it at any time by telling us.
  • To keep financial and company records. Our lawful basis is legal obligation.

We do not sell your personal information, and we do not use it for automated decision making.

Who we share it with

We share personal information only where needed with the booking and payment provider, with the providers that host this website and handle our email, with professional advisers such as accountants and insurers, and with authorities where the law requires it. These providers act on our behalf or as controllers in their own right under their own privacy policies.

Some of these providers may process information outside the UK. Where they do, we expect them to use safeguards recognised under UK law, such as an adequacy decision or approved standard contractual clauses.

How long we keep it

We keep enquiry emails and messages for as long as we need them to deal with your enquiry and for a reasonable period afterwards. We keep financial records for six years, which is the period company law and tax rules require. Health information you give us is kept only for as long as it is needed to keep you safe in sessions, and we delete it when you ask.

Your rights

You have the right to ask us for a copy of your personal information, to have it corrected, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time. To use any of these rights, email activesocialclub@outlook.com. We will reply within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
